The Apromore Portal is the first and primary interface that users access. From here, one can navigate the workspace folders and perform various actions through the available plugins. While this introduction covers the basics of the Apromore Portal, please refer to the various entries in the user guide for specific plugins information and capability.
To view the Apromore portal, first log in using valid credentials.
After logging in, the Apromore Portal is displayed. The workspace folder structure, or folders tree, can be found on the left-hand side of the portal window, in the “My workspace” area. Individual folders can be expanded or collapsed using the arrow icon next to each folder. Moreover, all folders can be fully expanded or collapsed at once using the two icons located on the top-right of the folders tree.
The central area of the Portal is occupied by the file view. This shows folders, process models (represented by a flowchart icon) and event logs (represented by a logbook icon), based on the folder selected from the folders tree.
If a process model is selected, its details such as version and last update time will be shown on the Details view, located below My workspace. Note, the Details view is populated only when selecting a process model.
By double-clicking on a process model, the Apromore Editor will be triggered to edit the model using the BPMN 2.0 standard. Likewise, by double-clicking on an event log, the Process Discoverer plugin will be triggered to reverse-engineer the process map or BPMN model from the selected log.
The menu bar provides a File menu to manipulate files, such as uploading or downloading models and logs, creating a new folder or process model, renaming a file and deleting it. The other menus (Discover, Analyze, Redesign), provide access to the various process mining and process model manipulation plugins. This user manual can be accessed from the Question mark button on the top-right corner of the Portal.
The File menu functionality is also available from the top buttons bar. In addition, this bar provides a refresh button (the first on the left) to force a refresh of the files view in the Portal. Usually, though, as new files are created, these automatically appear in the file view.
The last button on the top bar allows one to manage access rights to folders and files. From here it is possible to assign and revoke access rights to individual users or user groups.
Once the access rights dialog opens, simply select a folder or file from the folders tree view on the left-hand side, to inspect the folder or file’s assigned permissions. These are Read (the possibility to see the folder or file), Write (the possibility to modify the file, such as renaming it), and Owner (the possibility of granting or revoking such rights to other users and groups). To modify existing access rights to a folder or file, tick or untick the respective tick box, e.g. untick Read to disable someone from seeing a file, or tick Write to enable someone to modify that file, and then hit Save to save this setting. Alternatively, you can click on Delete to remove the specific all the access rights a user or group vests on a specific folder or file.
To add new users or groups to the selected folder or file, use the Users & Groups search function on the bottom of the dialog, and search for that user or group. Multiple users and/or groups may be retrieved if they include the search word.
Once you have found the desired user or group, tick on one or more access rights related to this user/group, e.g. tick on Write to grant access rights. You may wish to perform this operation on all retrieved users/groups. Next, select those user(s) and/or group(s) whose rights you have modified and wish to save, and press on the Save Selected button. After this, the user or group will appear on the top list.
To rename a file, select the file you want to rename and click on “File -> Rename”.
A window will open up displaying the file details. Here you can rename your file and click “OK”.
To search for specific folders or files, we can search in the textbox using key words, such as the name of a particular process as “order-to-cash” to show all files containing this term. The results will be shown in the file view.
The user menu, located on top right-hand side of the menu bar, provides access to the About window (where Apromore’s version number and the list of available plugins can be checked), Change password (to change one’s password), and Sign out (to sign out of Apromore).
